Straight Answers
How does a facility set up transportation with Presence?
Call dispatch for an immediate need, request patient transportation online, or submit the contact form to set up a facility account. Onboarding covers your typical volume, how staff prefer to request trips, and billing setup.
What mobility levels can Presence accommodate?
Ambulatory passengers, manual and power wheelchair users, bariatric patients, and residents who need a reclined, supported position via BRODA and Traversa transport chairs.
Can one provider cover ambulatory, wheelchair and reclined-positioning trips?
Yes. The same fleet and dispatch team handle ambulatory, wheelchair, bariatric and BRODA/Traversa reclined-positioning trips, so a facility with a mixed patient population can use one provider instead of several.
Hospitals
Hospital transportation is almost always time-sensitive: a bed is needed, a discharge order has cleared, and a patient is waiting on the unit. Case managers, social workers and discharge planners call dispatch directly with the unit, mobility needs and destination — home, a skilled nursing facility, rehab, or another hospital for a level-of-care transfer. Same-day requests are handled as a priority, and we confirm pickup and arrival back to the unit rather than leaving staff to guess.
Skilled Nursing Facilities
Skilled nursing residents move for a mix of reasons: dialysis and infusion runs several times a week, physician and specialist follow-ups, hospital transfers, and return trips after a short-term rehab stay elsewhere. We work with nursing and activities staff to set standing schedules for recurring trips so residents aren't rebooked call by call, and we coordinate directly with the front desk on pickup timing so a resident isn't waiting in a lobby.
Rehabilitation Facilities
Rehab patients frequently need transportation to outpatient therapy after discharge from the inpatient program, to follow-up physician visits, or between rehab and a diagnostic appointment. Because many rehab patients are actively regaining mobility, our drivers are trained to assist with transfers and equipment (walkers, wheelchairs, transport chairs) without rushing the process.
Assisted Living
Assisted living communities coordinate transportation for residents heading to routine medical appointments, specialist visits and periodic hospital or ER follow-ups. Staff typically call or arrange a standing pickup window for recurring appointments, and we communicate directly with family members when they want to be kept informed of pickup and arrival even if they aren't present.
Memory Care
Memory care residents need an unhurried, familiar-feeling handoff rather than a stranger arriving unannounced. We coordinate timing with nursing staff so a resident is ready and accompanied to the vehicle by someone they recognize, and drivers are briefed on any specific approach that helps the resident stay calm during the trip.
Dialysis Centers
Dialysis transportation is almost always a recurring, multi-day-per-week schedule where a missed or late pickup has real clinical consequences. We set these up as standing trips with a consistent pickup window on each treatment day, and we communicate proactively with the center's front desk if a delay is going to affect check-in.
Oncology & Infusion Centers
Chemotherapy and infusion schedules are frequently set weeks in advance and can run long, so we plan for either a wait-and-return trip for shorter infusions or a separately scheduled return pickup for longer sessions. Patients are often fatigued or nauseated after treatment, and drivers are trained to move at the patient's pace rather than hurry them.
Surgery Centers
Outpatient surgery centers require both a drop-off before the procedure and a pickup afterward, often on a tighter timeline than the center originally estimates. We coordinate with the center or the patient's family on same-day timing changes, since post-anesthesia discharge times commonly shift by 30-60 minutes.
Physician Practices
Practices that see a high volume of elderly or mobility-limited patients use us for recurring follow-up visits, or to fill a gap when a patient's usual ride falls through. Front desk staff can call dispatch directly to arrange a same-day or next-day ride for a patient who otherwise might no-show.
Home Health
Home health agencies coordinate transportation for patients who need to leave the home for a physician visit, diagnostic test or therapy session between home health visits. We work directly with the agency's scheduling staff so trips align with the patient's broader care plan and any equipment (oxygen, wheelchair) travels with them.
Hospice
Hospice-related transportation is typically for a family visit, a non-hospice medical appointment, or a transfer between a home and an inpatient hospice unit. These trips are handled with particular care around timing and comfort, coordinated directly with the hospice team.
Standing Schedules
Most facility relationships run on standing schedules rather than one-off bookings: a resident's dialysis run every Monday, Wednesday and Friday, a weekly physician clinic day, or a recurring therapy series. Standing schedules are set up once with a consistent pickup window, reducing the coordination burden on your staff and giving families a predictable routine.
Wheelchair & Bariatric Capability
Facility transportation only works if the vehicle fits the patient. Our fleet accommodates ambulatory passengers, manual and power wheelchairs, and bariatric patients requiring appropriate equipment and weight capacity, along with BRODA and Traversa transport chairs for residents who need greater positioning support than a standard wheelchair provides.
Communication With Staff and Families
Facilities need to know a trip happened; families need to know their loved one arrived. We confirm pickup and arrival back to the requesting unit, coordinator or front desk, and we're able to update a family member directly by phone or text when they've asked to be kept in the loop, handled in a HIPAA-conscious way.
Facility Accounts and Billing
Facilities can set up an account so recurring and one-off trips are billed to the organization instead of collected from residents or patients at the time of the ride. Onboarding covers your typical volume, patient mix, preferred way of requesting trips, and any documentation your facility requires for completed transports.
Transportation With Optional Escort Support
Skilled nursing, assisted living, memory care, rehabilitation and other healthcare facilities sometimes have residents or patients who need support beyond transportation itself. Presence can arrange optional accompaniment so a resident is not sent to an appointment alone.
Depending on the resident's needs and staffing availability, that may be a non-clinical companion or an appropriately qualified clinical escort such as a CNA, MA, or Nurse, working within applicable scope. Accompaniment is requested in advance and quoted separately from the ride.
Optional and available upon request for an additional fee, based on the level of support requested and availability.
Frequently Asked Questions
- How do we request transportation for a patient or resident?
- Call or text dispatch directly with the patient's mobility needs, pickup location and destination, or submit a request through our website. Staff can arrange trips on a patient's behalf without the patient handling payment at the curb.
- Can our facility set up a billing account instead of charging patients directly?
- Yes. Facility accounts allow transportation to be billed to the organization. Reach out through the contact form or call dispatch to start setup.
- Do you accept same-day discharge or transfer requests?
- Yes, same-day requests are common and are handled as a priority. Call with the unit, mobility needs and destination as early as possible.
- Can you handle standing weekly schedules for dialysis or therapy?
- Yes. Standing schedules are set up once with a consistent pickup window so your staff isn't rebooking the same trip every week.
- What if a resident needs a wheelchair, power chair or bariatric equipment?
- Our fleet accommodates ambulatory, wheelchair, power chair and bariatric passengers, along with BRODA and Traversa transport chairs for residents needing additional positioning support.
- Will your driver confirm arrival with our staff?
- Yes. We confirm pickup and arrival back to the requesting unit, coordinator or front desk, and can update a family member directly when asked.
- Do you provide transportation only for residents already in a facility, or also for outpatient visits?
- Both. We handle facility-to-facility transfers, discharge trips, and recurring or one-time outpatient appointments such as dialysis, infusion, therapy and physician visits.
